Identify the system without getting on the roof
If you know it, include whether the tank sits on the roof or at ground level, the brand, and whether the booster uses gas or electricity. A label or previous invoice can provide the model details. Don't climb onto the roof or remove equipment covers to gather information.
Solar thermal collectors heat water. Solar electricity panels generate electricity, which may power a separate water heater. If you're unsure which system you have, describe what you can see and how the current hot water operates.
Describe when the problem happens
Note whether the water is cold every day, only after cloudy weather or after a period of heavy use. Tell the provider whether the booster appears to be operating normally from its usual visible controls. Those observations help scope the visit without establishing a diagnosis.
A solar hot-water assessment may involve the collector circuit, circulation components, sensors, tank or booster, depending on the model. Ask whether the provider supports that system and what roof access or specialist work may be required.

If a component can be repaired, ask how it fits with the condition of the rest of the system. If replacement is recommended, ask which existing components will remain and whether they're compatible with the proposed equipment.
A quote to replace only a booster doesn't equal a quote to replace collectors and storage. Ask for separate scope and warranty terms. If comparing a heat pump, include the cost of safely decommissioning and removing any equipment that's no longer needed.
Roof access and handover belong in the quote
Access arrangements, removal, roofing interfaces, disposal and any electrical or gas work should be clear before booking. Ask who coordinates the required trades and what happens if roof or plumbing conditions differ from the assumptions.
After the work, keep the model information and operating instructions for the booster and system controls. The independent provider should explain the normal settings and maintenance schedule. Don't adjust safety temperatures or valves based on a general online guide.
